Setup and Implementation

Build the accounting system around how the business actually operates.

Most recurring bookkeeping problems start upstream, in an account structure or a workflow that was never designed for the business. Setup work is where that gets decided, and it is far cheaper to decide it correctly than to correct it later.

QuickBooks Desktop to QuickBooks Online

A conversion is not a file upload.

Intuit's conversion tool moves data. It does not decide what should come across, confirm that balances survived the trip, or rebuild the workflows your team used in Desktop. That is the work.

Migration planning

Decide what needs to come across, what is better left behind, the conversion date, and how the transition period will be handled so the business keeps operating.

File review

The Desktop file is reviewed before conversion. Existing problems get identified now rather than carried into the new system, where they are harder to unwind.

QuickBooks Online setup

Subscription, users and permissions, settings, and the QBO structure prepared to receive the data instead of accepting whatever the conversion produces.

Account mapping

Chart of accounts, items, and lists mapped deliberately, with a structure that makes sense in QBO rather than a literal copy of a Desktop file.

Validation

Post-conversion balances compared against Desktop: trial balance, bank and credit card balances, receivables, payables, and payroll liabilities. Differences are explained, not waved off.

Cleanup and workflow transition

Post-conversion corrections, bank feeds and payment connections rebuilt, reporting reset, and the team walked through how the monthly process now works.

Scope honestly stated. Every conversion is different, and some Desktop files carry history that will not convert cleanly. AnchorPoint plans for that, tells you about it before the conversion rather than after, and can take the resulting cleanup on as part of the project.

After the Project

Hand off, or keep going.

Some clients take the new system in house with documentation and training. Others hand it straight to AnchorPoint as a monthly bookkeeping engagement. Both are normal, and the project is scoped the same way either way.

A new system that nobody maintains drifts within a year. If bookkeeping is going to stay in house, the project includes written procedures and training so the people running it know what the monthly rhythm is supposed to be.
